We know that the new member management system can be challenging.  Here is a work around to get the membership completed.

Fixing Incorrect SE Account Set Up

Two of the most common issues we are running across with the new system launch are:

  1. Parents purchasing the membership for themselves instead of for their athlete
  2. The Sports Engine account being setup for the athlete instead of the parent (which prevents membership purchase because the person purchasing the membership

When a parent purchases a membership for themselves instead of their athlete, the membership needs to be cancelled and refunded by both the Region and USAV. This is because if they change the name on the Sports Engine profile and the Region changes the verified data, the account will be “owned” by the athlete. The athlete owning the account does not allow us to ensure that any communications through the system are sent to the parent as well as the athlete, it will also prevent the athlete from purchasing a membership in the system the next season if they are still under 18 years old. Instructions for parents to purchase their membership after the cancel/refund have been attached to this email.

If the Sports Engine account is setup for the athlete instead of the parent, it prevents the account from being able to purchase a membership (due to the USAV requirement of needing to be 18 to purchase the membership/agree to waivers)

If the parent is still confused, please refer the person to usavhelp@sportsengine.com for assistance with editing their account.

MEMBERSHIP PURCHASES & CLUB AFFILIATION

Welcome parents and athletes to the 2020 – 2021 club volleyball season through the Rocky Mountain Region.   Please note that these examples will say North Texas instead of Rocky Mountain Region.

Step 1, being added to Directory: You will receive an email for your player to “participate” in a club. If you already have a SportsEngine account, it will prompt you to login, if not, it will prompt you to create one. This will put your player in that club’s directory.

Please note, that these are examples below are from the North Texas Region.  So instead of saying North Texas Region, it will say Rocky Mountain Region.

If a family has multiple players, they can all have their membership information in the same master account, using one set of login credentials (called a “family account”).

Step 2, membership purchase and club affiliation: Once you have been added to a club’s Directory, the club can now send you an invitation via email. Accepting this invitation and purchasing the membership will affiliate you with this club. This invitation must be sent from the club that you have accepted an offer to play with according to the region’s offer and acceptance policy.

COMPLETING ELIGIBILITY REQUIREMENTS

All individuals will have an eligibility status. An individual who has met all requirements will appear as eligible. Once a membership is purchased, that individual will receive an eligibility email outlining all requirements they still need to meet and will clearly see in their account that there are remaining requirements to be met.

If you require SafeSport training, the system will send you a link via e-mail to complete the training.  USAV is working on technology that allows the system to know which training is appropriate for you and that will automatically load it for you.

Coaches, Chaperones and Officials

BACKGROUND SCREENS

Background screenings will be a separate purchase, done after your membership purchase is complete. This is different than past seasons. You will automatically receive a link via e-mail to purchase a BGS if you need it.  USAV has changed their background screening policy and has increased the cost to members – $30 (+ $.89 processing fee) for two years, which includes a supplemental screening prior to the second season.

SAFESPORT TRAINING

This process will be smoother for all involved. If you require SafeSport training, the system will send you a link via e-mail to complete the training.  USAV is working on technology that allows the system to know which training is appropriate for you (Core vs. Refresher) and that will automatically load it for you.  Junior athletes who are 18, or who will turn 18 during the season, will be able to select a membership that automatically enrolls them automatically in SafeSport.

IMPACT (FOR COACHES)

If you require IMPACT certification, the system will send you a link via e-mail to complete complete the certification. USAV is working on technology that allows the system to know which training is appropriate for you and that will automatically load it for you.

USAV ACADEMY (LMS)

We are still learning more about how the USAV Academy Learning Management System (LMS) will be integrated with the new platform. 

In Webpoint, in order to register for coursework, you would need to go into your Webpoint account and “register” for an “event” that would load your coursework into Academy.  In the new system, you will not need to find these separate “events.”  The registration process will be much more streamlined.
