"New Junior Club" & Team Registration Info

Getting a New Club started might seem to be a daunting task, but it's not that complex, and the RMR is here to help you get started! We'll also try to help you avoid some common pitfalls.

The FIRST step  is to ensure that you, the Director, are a current member of USAV for the upcoming season (don't apply until Aug 15), and that you have initiated your background screen and have taken your SafeSport Course. USAV won't let you manage a Club "HQ" until that's taken care of

Next steps are to choose a Club Name, and a related Club Code. Like choosing an email address, it's important to avoid using names or codes that look too much like the names and codes of other clubs in the RMR. Take a look a the current RMR club lists and "historic" club codes (on the right side of this page) and then contact us  to discuss the names you're considering! 

The next step will be to submit a New Club application (aka "Annual Form") to USA-Volleyball. Use this LINK  to access the the 23-24 application, which is presented in a digital format, directly from the "SportsEngine." membership system.

You'll also want to fill out the USAV "Certificate of Insurance (COI)" Request Form. Both of those forms are presented on the right, as well.

After you've done all that, our "membership@rmrvolleyball.org" staff can assist you as needed toward setting up your Club Profile (called an "HQ") at SportsEngine. We can also help you create the "invitation links" that you'll use to invite your new coaches directly into your club. Believe it or not, you have to invite yourself to affiliate with the club that (you) just created. And similarly, you'll send links to the athletes who have signed with your club.

Directors' Pre-Season CHECKLIST for 23-24

 

1) As a new Director your first step is to create your own personal membership at RMR. Use this LINK to secure your own, generic unaffiliated membership.

Please don't give this link to other members of your club! They need a specific link that affiliates them with your club directly.

The Director membership costs $60 plus $14 background screening fee.  With this generic membership, you become "Member 0" for your new club!

2) Initiate your personal background screen, immediately. (We've posted "How to Navigate to your Background screen" insturctions on this page)

3) While your B/G  is "in process" go ahead and take your SafeSport course! The course requires about 3 hours to complete, the first time., but in subsequent years you are eligible for a 30 minute refresher!

4) Submit an ANNUAL FORM for your Club.  (again, see instructions elsewhere on this page)

5) With those tasks taken care of, you're eligible to become "Member #1" of your club. We will contact USAV on your behalf, and they will activate your Club HQ (online management login)

6) From within your SportsEngine HQ,  create membership invitation links to send to your coaches and players. If you don't know how, please contact membership@rmrvolleyball.org .

7) Don't forget to send yourself the invitation link, so that your personal membership can be updated from "generic" to "club affiliated!"

8) Request Certificates of Insurance (COIs) for any new facility that you will use. (COIs from last year are automatically renewed for you).  NEW: You can also log in to EPIC to request fresh copies of any of your existing/renewing certificates, self serve!

9) ROSTER and VALIDATE your teams at TM2sign.com no later than  Dec 11, 2023, for SOS pre-season seeding. (Teams that form-up after Dec 11 may still join RMR, they simply won't enjoy pre-season seeding, and may have to "work up through the ranks" a bit.)

10) PRE-REGISTER for tournaments, also at TM2sign. 

11) Request a Scoring and Referee Clinic at your site  HERE

12) Host an RMR Power Series Tournament at your gym if you'd like, by submitting your availability HERE

Register your Club online!

All clubs must compete the RMR "ANNUAL FORM" each year.  This is your formal application to USA Volleyball, to be recognized (sanctioned) as a Club.

At the same time, the data you enter here is used by the RMR to update and confirm your club particulars (contact information, geographic area served, teams hosted etc) that we publish to our members at our "Club Directory" page.

New this year is that you will be charged $50 at the time you process your Annual Form. Our overall pricing has not changed; the $50 you pay now will cover your first TeamRegistration Fee!

 


Get your certificate of Insurance (COI) here!

Self-Service Insurance Certificates now available ONLINE !!! This tool from EPIC allows you to submit a request for facility insurance coverage online. You may choose between two options; "evidence of insurance" proves that you're covered,. You can also request to add "additional insured" so that coverage is extended to your facility owner/host as well. (suggested). In either case,  you will be sent an email which includes a link to your new PDF certificate, suitable for framing, or for handing off to your facility owner!  TIPS: You do NOT have to request a COI each year. Sites that were covered last year are automatically re-insured for this season! If your club name does not appear in the drag-down selection field, that generally means that your new club has not been fully authorized yet. As soon as you get your HQ, we'll update the club list at the COI portal and you'll be in business! We try to keep an eye on the portal, but if you're in a rush, or if you think you should have received your certificate already, drop us an email letting us know. MORE INFO BELOW

Rostering through TM2sign at our new "Rostering" event

The "Season Master-Roster" process is designed to allow you to create a roster for your team for the entire season. This Season roster must be validated, but will then be provided for you to print and carry to all RMR events. (no more weekly team rostering and validation!)

ROSTERS SHOULD BE CREATED AND VALIDATED WELL BEFORE THE DEC 1ST DEADLINE, SO THAT THE INITIAL-SEEDING PROCESS CAN TAKE PLACE ON TIME!Teams can still be formed after Dec 1st, but will be seeded by hand, and generally "near the bottom!"

Payment Options:
The RMR Team Roster Fee is $50 per team per year. It is due as you roster the team. You may pay this "Annual $50 Team Rostering Fee" at TM2sign by credit card (fee approximately $1.80) or the RMR will simply add the $50 team roster fee to this month's RMR monthly invoice.

As a reminder, the new "monthly invoice process" will come to you by email as an Intuit/Quickbooks invoice. These invoices will include items that you leave unpaid at TM2sign, and also whatever small charges or overdue payments you have with us (clinic fees, for instance). Your monthly invoices from RMR may be paid by ACH or by paper check... That's why we offer these... to help you avoid costly credit card fees! If you need to, you can even pay your monthly Quickbooks invoice by credit card... but that does  invoke the approximately 3% pass-through banking fee again.


Instructions for COI Online-Request Tool

REQUEST A CERTIFICATE FOR A NEW FACILITY

--> (not necessary if you had a COI for this site last year)

Use the form (to the right here) to request a certificate of insurance for approved/insured activities. A list of organizations/names will appear when you start typing the name, city, or state code.

TIPS   (numbers here refer to the lines in the form)

2) Enter your club name (no abbreviations, please)

3) Choose your certificate type: “Evidence of Coverage” or "Additional Insured." (The "additional" is preferred: see "Description of COIs" PDF , below)

4) For general RMR purposes, use “RMR-sanctioned club practices and RMR competitions” as the Event Name

5) Start date can be no earlier than the application date

6) End date can be no later than Aug 31st

Lines 7-12)  “Holder” refers to the facility ownership… the people requiring you to provide insurance

Lines 13-15)  “Contact" means YOU the requesting Club Director


SELF-SERVICE COI Request Process (NEW FACILITY)


You may now submit a request for a Certificate of Insurance for a NEW FACILITY yourself, by following THIS LINK.

After a short process time, you should receive a direct email which will include a link to your new PDF certificate, suitable for framing, or for handing off to your facility owner!

Use this to request a COI for NEW facilities. You do not need to request a new certificate for facilities that you used last year, since each COI is automatically refreshed each season. (see below)


Certificates of Insurance for EXISTING FACILITIES (Request a copy)

Another new tool for Club Directors:

If what you need is simply a copy of a COI for a facility you've used previously, follow THIS LINK.

There, you can see a list of all your current COIs (on the white lines). If your previous COIs have expired, they are highlighted in pink.

If the white lines show facilities that you no longer use, please write to cois@rmrvolleyball.org to let us know, and we will have EPIC Insurance delete these COIs.
